Role Overview
As an Office Assistant at /slantis, you will play a key role in supporting the daily operations of our Administration & Finance Spore while ensuring a smooth and organized office experience. This role combines administrative coordination, office management, travel logistics, and IT support, contributing directly to the efficiency and culture of our Buenos Aires office.
You will collaborate with multiple teams, vendors, and external partners, helping maintain operational excellence while creating a welcoming and functional environment for our team members and visitors.
Responsibilities
Administration & Finance
• Manage invoice processing and supplier payment coordination in Argentina, including invoice registration, documentation tracking, and receipt distribution.
• Prepare and distribute weekly payment reports.
• Update payment receipts in Drive and register payment confirmations in Odoo.
• Perform bank reconciliations and credit card controls.
• Support payroll processing activities in Argentina.
• Coordinate directly with external accounting partners regarding monthly closings and withholding certificates.
Office Management
• Manage office supplies, snacks, coffee, fruits, and consumables inventory.
• Coordinate lunch orders, tracking, and reception.
• Maintain communication with co-working space providers regarding facilities-related matters.
• Coordinate guest visits and support onboarding experiences for new hires.
• Manage onboarding kits, welcome boxes, and marketing materials inventory.
• Maintain ongoing relationships with vendors and suppliers.
• Support internal events organization alongside Brand and People teams.
Tech & IT Support
• Manage equipment logistics and support onboarding for new hires• Maintain inventory and tracking of PCs and office equipment.
Travel Management
• Coordinate travel logistics for company trips, missions, conferences, and inter-hub travel.
• Manage flight bookings, accommodations, transfers, and travel insurance.
• Coordinate meal logistics and travel kits when needed.
• Send travel itineraries, vouchers, and communication emails to travelers.
Competencies & Skills
Previous experience in office administration, operations, executive assistance, or similar roles.
Experience working with administrative and finance-related tasks.
Familiarity with tools such as Google Workspace, Odoo, Notion, or similar platforms is a plus.
Strong organizational and multitasking skills.
Excellent communication and coordination abilities.
Detail-oriented and proactive mindset.
Ability to manage multiple priorities in a fast-paced environment.
Team player with a service-oriented attitude.
Intermediate/Advanced English level preferred.
